Automation office evolution implies the multiplication of the means of productions of departmental documents. When it is about printers or fax machines, it is more rational to have a common equipment by service or by geographical entity. It implies that the documents destined to several recipients come out to one single point.
It follows that at one point every documents of a group of users are produced at the sight of all and thus, that each person having access to this printer or fax machine will be able to consult voluntarily or involuntarily his/hers colleague's document.

This disponibility of any document to each person is not a problem in a normal case. But when it comes about sensitive documents, the situation becomes dangerous. And many documents are sensitive in a company:

  • defense related documents,
  • documents related to the future projects,
  • documents related to the expertise of the company,
  • documents concerning the company's customers,
  • propositions,
  • information over the prospects in progress,
  • documents under the responsibility of the HRD,
  • etc.

In fact there is quite a long list, therefore it is important to protect the company from any possible leaks related to a mismanagement of produced documents.
The suggested device allows avoiding undesirable parallel diffusions every time a sensitive document is submitted to printing or faxing.

Following a fax or printing request, the equipement assigned to print the document identifies its sensitive characteristics. Automatically, it retains this document possibly after actionning the necessary formatting for printing; the document can then be printed quickly once it's freed.
The document will only be available when its recipient will identify himself to the equipment; this identification can already put to profit the security controls available in the company:

  • Identification with a badge,
  • Identification by name or password.
Control takes place while subcontracting the validity of the signature sent to the computing system of the company that centralizes them.
When the recipient is identified by the equipment, the list of the sensitive documents concerning him is communicated to him. He can then choose to make them available and in this case documents are produced in his presence avoiding thus all indiscretion.
The produced document has the display elements that will permit, thereafter, to secure its diffusion in the company (as described previously). It will therefore be possible to reproduce this document only if the specific restrictions of reproduction defined for it are respected.
